Administrative Assistant

CDI Corporation is seeking an Administrative Assistant to work on our client site in Houston, TX.  This is a full-time, benefited, long term opportunity. 

SUMMARY: Candidate will update and maintain our SAP database, TRT measurement system, and be responsible for administrative duties such as: collecting and entering data in databases and maintaining accurate records of proprietary company information. 

Job Responsibilities & Accountabilities:

  • Insert SAP/TRT data by inputting text based and numerical information from source documents within time limits (weekly/monthly)     
  • Review data for deficiencies or errors, correct any incompatibilities if possible and check output (interface with field level)
  • Research and obtain further information for incomplete documents (interface with field level)
  • Apply data entry program techniques and procedures (SAP/TRT training to be provided based on experience level)
  • Generate reports, currently performed by SAP planner
  • Scan documents and print files, when needed
  • Keep information confidential
  • Respond to queries for information and address in a timely manner
  • Comply with data integrity and security policies
  • Ensure proper use of office equipment and address any malfunctions
  • Awareness of data entry; entries are subject to audits (internal/external)

Job Qualifications & Skills Required:

  • Proven data entry work experience, as a Data entry clerk or Office clerk
  • Experience with MS Office, SAP, and data programs
  • Familiarity with administrative duties
  • Experience using office equipment (fax machine and scanner)
  • Typing speed and accuracy
  • Excellent knowledge of correct spelling, grammar, and punctuation
  • Attention to detail (key for TRT)
  • Confidentiality
  • Organization skills, with an ability to stay focused on assigned tasks
  • High school diploma; additional computer training or certification will be an asset
  • LPO entry
  • Tallying LPO/NLI/LI totals and capturing in sharepoint
  • Update vent log spreadsheets
  • OIMS filing system – physical and electronic
  • Emergency response plan updates
  • LOI updates
  • Filing training documentation
  • Assist with data entry on shipments and profiling
  • Scorecard data gathering
  • Work permit filing
  • Back fill for scribe during meetings
  • Back fill for certain admin duties
